Local Database Management & Data Backup Requirements

Section 1

Purpose & Scope

This document establishes the mandatory IT operational requirements that all local clients must comply with in order to maintain data integrity, ensure business continuity, and facilitate seamless coordination with our central operations team. These requirements are effective immediately upon onboarding and must be upheld on an ongoing basis.

Section 2

IT Personnel Requirement

Each client is responsible for the independent management of their local database environment. To ensure this responsibility is met in a professional and accountable manner:

ℹ️ Mandatory Requirement

Every client must designate a dedicated IT person who will be solely responsible for managing, maintaining, and monitoring the local database and all related IT operations. This individual serves as the primary point of contact for all technical matters.

Responsibilities include:

  • Day-to-day management and monitoring of the local database
  • Execution of scheduled data backups as outlined in Section 3
  • Timely transmission of backups to the central team
  • Maintaining the integrity and security of all locally stored data
  • Promptly reporting any technical issues or anomalies
Section 3

Backup Requirements

3.1

Backup Frequency

All clients are required to perform a minimum of 2–3 full database backups per day. Backups must be distributed across the business day to minimise the risk of data loss.

3.2

Local Backup Storage — D: Drive

All backup files must be saved locally on the designated D: Drive of the client's server or primary workstation.

  • 📁 Clearly named and organised backup folder must be maintained at all times
  • 🏷️ Files must be labelled with date and time of creation
  • 💾 D: Drive must retain a minimum of 7 days of backup history
  • 🗂️ Old backups must be archived or deleted in a controlled manner
3.3

Cloud Backup Storage — Google Drive

In addition to local storage, each backup must also be uploaded to the client's designated Google Drive account to ensure an offsite, redundant copy is maintained.

  • ☁️ Upload to the specific Google Drive folder assigned for this purpose
  • 🔁 Folder structure must mirror the local D: Drive naming convention
  • 📅 Upload must be completed on the same day the backup is created
Section 4

Internet Connectivity Requirement

A stable and uninterrupted internet connection is mandatory at the client's premises on a 24-hour basis. This requirement is critical for the following purposes:

⚠️ Important Notice

Any disruption to internet connectivity that results in a missed backup transmission must be reported to the IT Operations team immediately. Repeated failure to maintain connectivity may impact service continuity.

Section 5

Backup Transmission to Central Team

Clients are required to transmit their daily backup files to our central operations team using their official, registered Gmail account. The transmission must adhere to the following protocol:

Official Gmail Only — Backups must be sent exclusively from the client's registered Gmail account

Clear Subject Line — Must clearly indicate the client name, date, and backup reference

Attach or Share — All backup files attached or shared via a Google Drive link in the email

End of Business Day — Transmission must be completed by end of each business day

Await Confirmation — IT person responsible for ensuring successful delivery and confirming receipt

Cloud Hosting Option

For clients who prefer a fully managed, cloud-based infrastructure rather than maintaining local database operations, a cloud hosting solution is available upon request.

By proceeding with our services, the client acknowledges that they have read, understood, and agree to comply with all requirements outlined in this document. Non-compliance may result in service limitations or interruptions.
